1. Information We Collect

Information You Provide

We collect information you voluntarily provide when you:

• Create an account or sign in to the Bectify platform
• Submit a contact form or request a demo
• Subscribe to our client portal
• Communicate with us via email, phone, or chat

This may include your name, email address, phone number, company name, and business information.

When you create an account, we keep a record that you agreed to our Terms of Service and this Privacy Policy: the date and time, the versions you agreed to, how you signed up (email or Google), and the IP address and browser you used.

Information Collected Automatically

When you visit our website, we may automatically collect your IP address, browser type, device information, pages visited, and the date and time of your visit.

Information Processed on Behalf of Our Clients

As a platform provider, Bectify processes data on behalf of our clients (service businesses). This includes lead information, conversation transcripts, appointment data, and customer contact details that flow through our AI automation system. We process this data solely according to our client's instructions.

Who is responsible for which data. For information about the end customers who contact a business through Bectify (callers, texters, chat and email senders), that business is the controller: it decides why and how the information is used, and Bectify acts as its processor or service provider, handling the information only to provide the service to that business. For our own account holders and website visitors, Bectify is the controller.

2. How We Use Your Information

We use the information we collect to:

• Provide, operate, and improve our platform
• Process and manage your account
• Respond to your inquiries and provide support
• Send transactional emails (login links, account notifications)
• Analyze usage patterns to improve our services
• Comply with legal obligations

3. How We Share Your Information

We do not sell your personal information for money. If you click Accept in our cookie banner, our marketing pages also use advertising-measurement cookies that share some browsing information with Google and Meta, as described in section 9 (Cookies & Tracking). We may share information with:

• Service providers — Companies that help us run the platform, in these categories: hosting and database; AI and voice providers; messaging and telephony; email delivery; payments; analytics and error monitoring; and calendar and scheduling integrations. Conversations are processed by these AI services to provide the service. On our marketing pages, advertising measurement is described in section 9.
• Our clients — Data collected through our AI automation system is shared with the client business that the end customer contacted
• Legal requirements — When required by law, subpoena, or court order

4. AI and Automated Processing

Bectify uses artificial intelligence to process conversations, extract lead information, and generate responses on behalf of our clients. Specifically:

• Inbound SMS, WhatsApp, Messenger, Instagram and web chat messages are processed by AI to qualify leads and capture contact information
• Voice calls are processed by AI to handle conversations and book appointments
• Emails sent to a business that uses Bectify are processed by Bectify, and may be answered by AI if the business turns that on
• Conversation transcripts are analyzed to extract structured data (name, phone, address, service type, etc.)
• AI-generated responses are sent to end customers on behalf of our clients

Call recording and transcription. Calls answered by a business's Bectify agent may be recorded and transcribed so the business can review them and so the details of the request can be captured. Any recording and transcript are stored with the business's account and shown to that business. The business is responsible for telling callers about recording where the law requires it.

All AI processing is performed to fulfill our clients' service delivery needs. End customers are interacting with our clients' businesses, not with Bectify directly.

5. Text Messages & Phone Communications

Program Name: Bectify Client Communication Platform

Description: Bectify sends SMS and voice communications on behalf of our client businesses to their end customers. Messages include service inquiries, appointment confirmations, reminders, follow-ups, and review requests.

Message Frequency: Varies based on the service interaction. End customers may receive between 1 and 20 messages per conversation.

Message & Data Rates: Standard message and data rates may apply.

Opt-Out: End customers may opt out at any time by replying STOP to any message.

Help: For support, reply HELP to any message or contact us at support@bectify.com.

We do not share mobile information. We do not sell, rent, or share mobile phone numbers or SMS consent with third parties or affiliates for their marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. We may use service providers that help us send and store messages (such as our messaging platform and telecommunications carriers); they may use this information only to deliver messages.

Carriers are not liable for delayed or undelivered messages. Consent to receive text messages is not a condition of purchasing any goods or services.

6. Data Security

We implement industry-standard security measures to protect data:

• All data is encrypted in transit (TLS/HTTPS)
• Database access is secured with Row-Level Security policies
• Credentials are stored encrypted at rest
• Per-client credential isolation (separate Twilio subaccounts)
• Admin access requires authentication with role-based permissions

No method of transmission over the Internet is 100% secure. We cannot guarantee absolute security.

7. Data Retention

We retain data for as long as necessary to provide our services:

• Account data — retained while your account is active
• Conversation data — kept while the business's account is active; after the account is closed, deleted on request
• System logs — retained for 90 days
• Billing data — retained as required by law

8. Your Rights

Depending on your location, you may have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your personal information
• Opt out of marketing communications
• Request data portability

To exercise any of these rights, email privacy@bectify.com. We handle each request by hand: we will ask you to confirm your identity (for an account holder, usually by writing from the email address on the account), and we respond within 30 days. If you are an end customer of a business that uses Bectify, please contact that business first, since it controls your information; we will help the business respond.

9. Cookies & Tracking

We use a small number of cookies and similar technologies on bectify.com and bectify.mx.

Essential cookies. These keep you signed in to the Bectify portal and remember your cookie choice (bec_consent). The site cannot work without them, so they cannot be switched off.

Website and advertising measurement — only after you click Accept. If you click Accept in our cookie banner, we load Google Tag Manager and, through it, Google Analytics. On bectify.com marketing pages, landing pages and during signup we also load the Meta Pixel (Meta Platforms, Inc.); the Meta Pixel is not used on bectify.mx. These tools set cookies and send Google and Meta the pages you visit, how you arrived (for example from a search or an ad), your approximate location, and your browser and device type. We use this to understand how visitors find and use our website, how many people complete each step of signing up, and to measure and improve our advertising. We do not send your name, email address, phone number or business name to Google or Meta. Google and Meta handle this information under their own privacy policies. If you click Decline, or do nothing, none of these tools load.

Signup source cookie. After you click Accept, we also store a cookie of our own called bec_attr for up to 90 days. It records how you found us (for example the campaign or website that sent you) and the page you first landed on, so that if you sign up we know which channel brought you. It contains no personal details. It is not written if you decline.

Signup source saved with your account. When you create an account, we also save where your signup came from: which Bectify page you started on, the campaign details in the link you used (such as its source, medium and campaign, and a Google or Meta ad click ID if the link has one), and your answer to “How did you hear about us?” if you chose one. We take these from that link and from the signup form (and, if you accepted cookies, from the bec_attr cookie above), and we use them only to measure which pages and ads bring us customers.

Signup and setup progress. Within our own systems we record which signup and setup steps you complete and when, so we can improve the signup experience. This is part of running your account, not a cookie, and happens whether or not you accept cookies. Once you create an account it is linked to it.

Your choices. You can change your choice at any time with the Cookie settings link in the footer of the marketing site and signup pages. Choosing Decline after accepting deletes the bec_attr cookie and the Google Analytics cookies and stops these tools from loading. You can also block or delete cookies in your browser settings, use Google's opt-out add-on, Meta's ad preferences or Google's ad settings. If you block essential cookies, you will not be able to sign in. The Bectify client portal and the Bectify mobile app do not load Google Tag Manager or the Meta Pixel.

Global Privacy Control and Do Not Track. If your browser sends a Global Privacy Control signal, we treat it as a request to opt out: the cookie banner opens with Decline pre-selected and nothing optional loads until you choose Accept yourself. We do not sell your personal information for money. Because there is no common standard for Do Not Track signals, our website does not currently change its behaviour when it receives one.

10. Children's Privacy

Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date.

12. Google API Services User Data Policy

Bectify's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Bectify connects to Google Calendar (scope https://www.googleapis.com/auth/calendar) solely to create, read, update, and delete appointment events on a connected user's calendar on their behalf. We do not use this data for advertising, do not sell it, do not transfer it to others except as needed to provide the calendar-sync feature, and do not allow humans to read it except with the user's consent, for security purposes, or as required by law.

If a business connects its Google Business Profile, Bectify uses the permission https://www.googleapis.com/auth/business.manage solely to connect that profile to the business's Bectify account (we store the connection and the business name) and to act on that profile on the business's behalf for the features it turns on, such as review management. The same Limited Use commitments above apply to this data.
