Edit what your receptionist knows

Read in Spanish

Your receptionist answers customers with what you have taught it. The more it knows about your business, the fewer questions it has to pass back to you. Everything it knows lives on your receptionist's page. To open it, select your receptionist's name in the menu, then Setup.

Add questions and answers

Use this for the questions customers ask most.

  1. On your receptionist's page, open Answers [name] knows.
  2. Select Add FAQ.
  3. Type the Question and the Answer. A question can be up to 200 characters and an answer up to 1,000.
  4. Save it.

Questions and answers save on their own, the moment you add, edit or delete one. You don't need any other Save button.

When your receptionist could not answer something a customer asked, the question appears in this section. Select + Add to KB (your knowledge base) to write the answer.

Write your business context

Context is anything your receptionist should keep in mind on every call: the services you take and the ones you do not, the areas you cover, how you price. It uses the text to answer. It does not read it out loud.

  1. Open What [name] knows about your business.
  2. Write in the Business context box. It holds up to 6,000 characters.
  3. Select Save at the bottom of that section.

Add documents

Documents let you add more detail than fits in the context box, such as a price list or a policy.

  1. In the same section, under Documents, select Add a document.
  2. Choose a .txt, .md, .pdf or .docx file of up to 10 MB.
  3. Wait for the document to show Ready. If it shows Couldn't read, fix the file on your computer and upload it again.

You can keep up to 20 documents and 25 MB in total. Open a document to see what your receptionist read from it. You can edit .txt and .md documents right there and select Save the document. For other file types, edit the file on your computer and upload it again.

Build from your website

Your receptionist can read your website, your Google listing and your documents, then suggest services, answers and business context for you to review.

  1. In What [name] knows about your business, find Where should we read from?
  2. Check your Website. You can also fill in Google Business and tick the Documents to read.
  3. Select Build knowledge base.
  4. Under Review before saving, choose what to keep.
  5. Select Apply to [name], or Discard results.

Only owners and admins can build. After you apply, check your prices in Services & Pricing.
