Bectify

Lead stages

Read in Spanish

Each lead in your Inbox shows a status so you can see at a glance where it stands. You do not move leads from stage to stage by hand. Bectify works the status out from what has happened on the lead.

The four statuses

  • New — the lead came in and nobody on your team has replied to it yet. Your receptionist may already have talked to the customer; that does not change the status.
  • Contacted — a person on your team replied in the conversation. Replies from your receptionist do not count.
  • Booked — there is an appointment for this lead, or someone on your team marked it as booked.
  • Lost — the lead was closed without a booking, for example because the customer chose someone else or it was spam. There is no button for this status in the Inbox.

Some leads show no status at all. That is normal, for example when a customer left the conversation before giving any details.

Which status wins

A lead shows one status at a time. Booked comes first, then Lost, then Contacted, then New. So a lead you replied to and later booked shows Booked, not Contacted.

How a lead becomes Booked

A lead turns to Booked in any of these ways:

  • Your receptionist books an appointment during the conversation.
  • A visit is scheduled from a form on your website.
  • You mark it yourself:
    1. Open Inbox › All conversations and select the lead.
    2. Select Mark booked.

The Mark booked button appears on calls and written conversations that are not booked yet. There is no button to undo it, so be sure before you select it.

How a lead becomes Contacted

Take over the conversation and send a reply. As soon as a person on your team has answered, the lead shows Contacted. See "Take over a conversation".

Filter by status

  1. Open Inbox › All conversations.
  2. Choose All, New, Contacted or Booked above the list.

The same filters work in both the List and Table views. The Table view also has a Status column. There is no filter for Lost.

Status and Unread are different

Unread is not a stage. A conversation is unread when the customer has written since the last time someone on your team opened it. A lead can be Booked and unread at the same time. Select Unread to see only those conversations.
