Transfer calls to a person

Read in Spanish

Your receptionist can hand a call to someone on your team. All of this is in the Call routing section of your receptionist's page. To open the page, select your receptionist's name in the menu, then Setup. Only an owner or admin can change these settings.

Add a number it can transfer to

  1. In Call routing, find Transfer destinations.
  2. Select Add destination.
  3. Type a Label. Callers hear it, so keep it clear.
  4. Type the Phone number and select Continue. US accounts can use numbers in the US, its territories and Canada; Mexican accounts, numbers in Mexico. It cannot be one of your Bectify numbers.
  5. Choose how to get your code. Call me with the code is always there. In the US you may also see Text me; in Mexico, Send it over WhatsApp.
  6. Type the 6-digit code and select Verify.

Your receptionist only transfers to a number once it shows Verified. You can keep up to 5 numbers. Select Make default on the one that should receive transfers.

Choose when calls go to a person

  1. Your Emergency escalation number is your default transfer destination. For true emergencies, your receptionist calls this line right away, day or night. To change it, select Make default on another verified number.
  2. To send calls to your team during set hours, turn on Forward calls to me and set Forward these hours. In those hours, calls go to the same number as emergency escalation. Depending on your setup, your phone rings first, or your receptionist answers and then transfers the caller.
  3. Under The rest of the time, [name] should…, choose Answer the call or Take a message.
  4. Select Save at the bottom of that section.

If you chose They call my existing number, forward to a different line, such as an owner's cell. Your main number would loop the call back.

Test it

  • What happens to a call? Pick a Date and Time and select What happens? to see how a call would be handled.
  • Test mode. Select Test now and then Start test mode. For the next 10 minutes, every call is treated as if it were the date and time you picked. It applies to real callers too, so use it at a quiet moment. Select End test mode now when you finish.

Both tests work once your timezone is set.
